How to Track Freelance Income and Expenses Without a Spreadsheet Mess
Know what you really earn each month. A simple way to track payments, fees, expenses and subscriptions in one place.

On this page
Many freelancers only know how much money is in their account today. They do not know how much they earned this month, how much went to platform fees, or which clients are actually worth their time. Tracking this does not need to be complicated.
Track every payment the day it arrives
For each payment, write down the date, the client, the project, the amount, the currency and any fee taken by the platform or payment provider. Fees add up quickly — on some platforms they are 10–20% of the order.
Separate business expenses
Software, internet, equipment, ads and helpers you pay are all business costs. Recording them in the same place as your income lets you see your real profit, not just your revenue. It also makes tax time much easier.
Don’t forget subscriptions
Design tools, AI tools, hosting and domains renew quietly every month or year. Keep a list with the renewal date so you can cancel the ones you no longer use before they charge you again.
Review once a month
- How much did I earn and spend?
- Which client or platform brought the most income?
- Which projects took the most time for the least money?
Fifteen minutes a month is enough to make better decisions about pricing and clients.
